Overview:
Our client is seeking a proactive and highly organized Office & Household Manager / Executive Assistant to replace their current assistant who is departing on April 30. This is a long-term, part-time role with the opportunity to grow into a full-time position depending on company needs and candidate capabilities. The role is based out of a private home office and involves a mix of administrative support, bookkeeping assistance, organizational tasks, and local errands.
Compensation & Benefits:
$25–$35/hr DOE

Primary Responsibilities:
Document & Records Management
Process incoming mail/documents; scan, name, and file using standard conventions
Maintain organized Dropbox filing systems across multiple businesses and locations
Track documentation for accounts, vendors, banks, property records, and assets
Maintain documentation on naming conventions, recurring deadlines, and procedures
Accounting & Bookkeeping Support
Assist with bill payments (online and by check), filing receipts, and tracking due dates
Coordinate with accountants and ensure access to statements and reconciliation docs
Familiarity with A/P, A/R, and accounting cycle preferred
Experience with QuickBooks Online is a plus, not required
Household & Office Organization
Organize home office supplies, tech, groceries, clothing, and documents
Monitor and replenish items via Amazon, Costco, Publix, etc.
Handle deliveries, unboxing, trash, and general office tidiness
Errands & Logistics
Run local errands: post office, returns, grocery pickups, registered mail
Coordinate deliveries and occasional vendor pickups
Mileage reimbursed for all work-related travel (typically 1–15 miles)
Executive Assistant Support
Support founder’s calendar and email; assist with scheduling and communication
Conduct weekly virtual check-ins with other staff for project coordination
Update management with task progress and escalate issues as needed
Maintain discretion and handle sensitive documents, contracts, and PHI
Requirements:
Prior experience in an EA, office manager, or similar role
Strong organizational and communication skills (written + verbal)
Self-starter who can plan, prioritize, and follow through with minimal supervision
Medium proficiency in MS Office (Outlook, Excel, Word)
Familiarity with Dropbox, Slack, Zoom, Google Chrome, etc.
Comfortable lifting 40 lbs and climbing 3-step ladders or stairs
Valid driver’s license and reliable local transportation
Clean background check (criminal, civil, credit), able to sign NDA
Willing to become a Notary in TN (company will cover cost if not already certified)
Must be based in the Nashville/Brentwood area with ability to work on-site

Some remote work possible after training, but this is primarily an on-site role
Occasional off-hours contact (1–3x/month) for schedule or task updates
